running your practice

Insurance, telehealth and multi-state websites

The practical details that save you repeat emails and help the right clients book.

How do I show which insurance I take?

List the plans you're actually in-network with on a dedicated page, with a line asking clients to confirm coverage with their insurer. That one page can save you many emails.

Can I add a superbill page?

Yes. A short page can explain what a superbill is and how clients might use it, without promising they'll be reimbursed.

How do I explain Medicare or MNT coverage without promising it?

Explain that coverage depends on the client's plan and diagnosis, and invite them to check with their insurer. Say what you can help with and avoid words like guaranteed or fully covered.

How do I show which states I serve?

Put a clear list on your Services or Telehealth page, and mention it near your Book button. Only list states where you're allowed to practise.

Should I make a page for each state?

Usually not, unless you have something different to say about each one. Near-identical state pages can hurt your whole site. One clear list works well for most virtual practices.

How do I show in-person and virtual options?

Say which you offer on your home and services pages, with your location only if clients really visit you. Virtual-only practices should say so clearly.

Can I show fees, or should I hide them?

It's your choice, but showing fees or a starting price usually means fewer poor-fit enquiries and builds trust. If you take insurance, explain that fees can differ.

How do I talk about a sliding scale?

A short, warm note is enough: what's offered, how to ask, and that asking is welcome. Clients often feel relieved just to see it mentioned.

Do you build for group practices?

Yes. Group sites usually need a page for each provider, filtering by specialty and location, and clear booking routes. Tell us your team's size and we'll explain what fits, and quote first if it goes beyond the plan.

How do I add several providers?

Each provider gets a short page with their photo, credentials, focus, states and booking link. It helps clients choose, and it helps each person be found by name.

How do I write for referring doctors?

A short For Clinicians section helps: who you see, what conditions you work with, how to refer and what you send back. It's written for a different reader than your client pages.

Can I add a referral form?

It's safer to give clinicians a fax number, secure portal or instructions from your platform. A standard website form shouldn't collect patient details.

How do I explain the no-show or cancellation policy?

State it briefly in your booking information, in friendly and clear words. The full policy belongs in your client paperwork.

Do I need a physical address on my website?

Only show one if it's real and you're allowed to use it. Virtual practices can list their states instead. A mailbox shouldn't be presented as an office.

This is general information. Coverage and telehealth rules change, so confirm details with payers and your licensing boards.
